For property management teams on AppFolio

Books that match the bank. Checked every night, with the evidence.

Every night Xovion Books compares your bank activity with your property records. Each difference comes to your team with the evidence attached: the bank line, the book entry and the likely cause. Keep AppFolio. Your people make the final calls.

  • Read-only bank access
  • Never moves money

Why Xovion Books

Not another place to type. A second set of eyes.

  1. A check from outside your software

Automation built into property software works on that software’s own records. Books starts from your bank, a record your software didn’t write, and checks the books against it. Use both.

  2. Evidence with every finding

A difference never arrives as a bare number. It comes with the bank line, the book entry, the rule that flagged it and the likely cause, so your bookkeeper and your CPA can follow it.

  3. It never fills a gap to make it balance

If something doesn’t match, a person sees it, owns it and closes it. Books reads your bank and never moves money. Nothing gets quietly plugged.

In live use, one operating bank account matched the books to the cent across seven months of history.

What you get

Four jobs off your desk. Honest about which run today.

Everything starts from your bank account, not your software. AppFolio connects directly today. Other software (Buildium, Yardi, QuickBooks and more) will connect with a simple spreadsheet export through the Starter Kit, and we build direct connections where people ask for them.

Bills typed in for you

Accounts payable · AP inbox Working today

Vendors email their bills to one address. Books reads each one, makes sure it isn’t a repeat, and drafts it in AppFolio with the PDF attached for a person to review.

Big bills (say, over $500) wait for a person to approve. It never pays anything.

Your bank, checked every night

Bank reconciliation Working today

Every night it lines up each transaction in your bank with the matching entry in your books, using read-only access to your bank. Most match on their own.

Anything that doesn’t match becomes a to-do for a person, with both records attached. You get a summary by 7 AM.

Tenant deposits, proven to the dollar

Security deposit tie-out In build

It compares the deposits you owe tenants with the money actually sitting in your deposit bank account, property by property.

If they don’t match, it finds the exact transaction that caused the gap. Checked every month.

Month-end, already done

Month-end close Working today

All month it collects the proof behind every number, so closing the month is a checklist, not a scramble.

Your bookkeeper or controller still gives the final sign-off.

Questions

What people ask first.

Is our data safe?

Your bank connects through Plaid, the secure service thousands of finance apps use, with read-only access, so Books can’t move money. Every finding keeps the records it came from. Ask us anything about where data is stored and who can see it.

AppFolio already has automation. Why add this?

Keep it. Automation inside AppFolio works on AppFolio’s own records. Books is a separate check that starts from your bank, so it catches the cases where the books themselves are wrong, and hands your team the evidence to fix them.

What happens in a walkthrough?

About 30 minutes on a screen share. We show the nightly bank check, bill intake and month-end close running on sample data, ask how your books get checked today, and tell you honestly whether Books fits. No cost, no obligation.

What does it cost?

It depends on your entities, bank accounts and properties, so we scope it with you after the walkthrough rather than guess here.

How does it connect to AppFolio?

Through AppFolio’s official connection (its API). Checking and matching only read your data. The steps that write, like entering a bill, check for duplicates first and confirm it worked.

I don’t use AppFolio. Does this work?

Partly, and here’s the honest version. Books starts from your bank account, and that part works no matter what software you use. AppFolio is the only software it connects to directly today. Others (Buildium, Yardi, Rent Manager, QuickBooks and more) will work through a simple spreadsheet export once the Starter Kit ships, and we build direct connections where people ask for them. Tell us what you use when you sign up.

Do we have to leave AppFolio?

No. AppFolio stays where your official records live.

How long does setup take?

It depends on your entities, bank accounts and properties. We scope it with you rather than guess here.

Who handles the things it can’t match?

Your people. Each one shows up as a to-do with the records attached and the reason it was flagged. Books never closes one on its own.

See it on your kind of books.
