Did you pay anyone twice?
Drop in your bill list and see every bill that looks entered twice, with the dollars at stake. Add the bank’s transactions and it also looks for the same payment taken twice.

Step 1 · The bills
Bill list (CSV)
In AppFolio: run Bill Detail for the last two or three months, all properties, and export it as CSV. Other systems: any bill or payables list with vendor, invoice number, date and amount.
Step 2 · Optional
Bank transactions (CSV)
From your bank’s website, the operating account for the same months. Used to spot the same payment taken twice, usually an autopay that was also paid by check.

Xovion Books checks every bill before it’s entered.
It also matches the bank every night, records autopays as paid so they never go out in a payment run, proves the deposit account and closes the month.
This check flags the same vendor with the same invoice number, the same vendor and amount within 14 days when the invoice numbers don’t tell them apart, and invoice numbers one character apart. An amount on its own is never treated as a duplicate. Every flag is for a person to look at, not proof. It is a starting point, not an audit. Xovion Books is not affiliated with AppFolio.
